Refund Policy

MedTrack Mentors ("we," "us," or "our") is committed to providing exceptional physician-led admissions mentoring. Because our services involve significant preparation, scheduling, and allocation of physician mentor time, we have established the following refund policy. Please read it carefully before purchasing any package.
1. All Sales Are Final
All purchases of MedTrack Mentors mentorship packages and advising services are final and non-refundable once payment has been processed. By completing your purchase, you acknowledge and agree to this policy.
2. No Refunds After Service Commencement
Once a mentoring engagement has commenced — including but not limited to the completion of an initial consultation, strategy session, essay review, or any scheduled advising appointment — no refund will be issued for any unused portion of the package.
3. Cancellation Before Service Commencement
If you wish to cancel your package before any services have been rendered, you must notify us in writing within 48 hours of your purchase by emailing [email protected]. Cancellation requests submitted within this window will be reviewed on a case-by-case basis. We do not guarantee a refund even within this period.
4. Package Transfers
Unused package sessions may not be transferred to another individual. All services are personal to the enrolled student and are non-transferable.
5. Rescheduling Policy
We understand that schedules change. Sessions may be rescheduled with a minimum of 24 hours' advance notice. Sessions cancelled or missed without 24 hours' notice will be forfeited and counted as completed. Repeated no-shows may result in forfeiture of remaining sessions without refund.
6. Chargebacks and Disputes
If you initiate a chargeback or payment dispute without first contacting us to resolve the issue, we reserve the right to immediately suspend all services and provide documentation of services rendered to the payment processor. We encourage you to contact us directly at [email protected] before initiating any dispute.
7. Exceptional Circumstances
In the event of a documented medical emergency or extraordinary circumstance that prevents a student from continuing their program, we will review requests for a partial credit (not a refund) toward a future engagement on a case-by-case basis. Such requests must be submitted in writing with supporting documentation within 30 days of the qualifying event.
